Welcome to the University of Wisconsin Green Bay!
This resource has been developed to familiarize you with UW-Green Bay and provide you with resources to find additional information regarding your employment with us as you get started. Onboarding is a continuum of activities that occur during the first six months of a new staff member's employment. These activities may include job-specific orientation, personal benefits orientation, Human Resources orientation, mentor programs, and assistance from peers - all with the goal of helping new employees acclimate to a new professional environment.

2024 Open Letter to UW-Green Bay and the Region
UW-Green Bay is part of The Universities of Wisconsin System which serves more than 162,500 students. These 13 public universities are Wisconsin’s talent pipeline, putting graduates in position to increase their earning power, contribute to their communities, and make Wisconsin a better place to live.
The Board of Regents is responsible for establishing policies and rules for governing the System, planning to meet future state needs for collegiate education, setting admission standards and policies, reviewing and approving university budgets, and establishing the regulatory framework within which the individual units are allowed to operate with as great a degree of autonomy as possible.
Criminal Background Check and I-9 Form
Your appointment is conditional pending the results of a criminal background check in accordance with the UW-Green Bay and Universities of Wisconsin Administration Criminal Background Check policy and procedures. The appointment will be withdrawn or terminated if the results are unacceptable. You will be receiving an e-mail from HireRight requesting your authorization to process this background check. Please follow the instructions in the e-mail as soon as possible.
You will receive an additional email from HireRight requesting your action to complete the first section of the I-9. This email will provide you with logon information to complete your I-9. Please follow the instructions in the email to complete page 1 of the I-9, if you haven’t already. The I-9 form contains a list of acceptable documents you will need to physically present within three business days of your first day of employment for verification of identity and work authorization.
Sexual Harrassment Reference Check (SHRC)
The offer of employment is conditional pending the results of a reference check process that includes questions regarding sexual violence and sexual harassment. You will be receiving an e-mail from UW Shared Services, Service Operations regarding this reference check process. If the results are unacceptable, the offer will be withdrawn or, if you have started employment, your employment will be terminated.
Parking Permit
UW-Green Bay has a Virtual Parking Permit system in which no physical permit is displayed. Through the use of Automated License Plates Reader(ALPR), we identify if a vehicle has a virtual permit assigned or has paid for a parking session. This innovative system allows for user to have more control over their parking, and makes parking enforcement much simpler. You can choose to have payroll deductions set up for your parking permit payment, you can pay online with a credit/debit card, or you can pay in person at Student Billing with a check or cash.

Building Hours and Access
The doors to the University buildings are normally open from 6:00 a.m. to 11:00 p.m; however, administrative offices are normally staffed from 7:45 a.m. to 4:30 p.m. Monday through Friday.
Staff members may be issued office keys but not building keys; only Police Officers have keys to the buildings. If you need to request a key, please see the Key Request Form.
Building Hours and Access Policy
IT Service Desk
The UW-Green Bay IT Service Desk is a service of the IT User Support team. The Service Desk takes phone calls, email, and walk-ins from staff, faculty, and students who are experiencing software or hardware problems. IT Service Desk staff also provide onsite service calls to resolve problems as needed.
You can reach the IT Service Desk online, by calling 920-465-2309, or by visiting their walk-up location at IS 1150.
Communications
Phone and Fax
Your office or work area will have a phone. To access an outside line for a local off-campus call (or an 800 number), dial 9, then the 7 digits of the off-campus number. For all long distance calls within the USA (except to an 800 number), dial 8 (not 9!), then 1, then the area code and number. Dialing 8 for long distance calls accesses the State Telephone System, which is less expensive than regular long distance service. Your department will be charged for, and have a record of, all your long distance calls. Check with your supervisor for policies and procedures for calls outside the United States or for use of the office fax machine.

Mail
Your office or work area will receive mail and have outgoing mail picked up daily. For special pickup for express mail service, contact the Mail Center at ext. 2215. The Mail Center is located in the Laboratory Sciences building, Room 110.
Email and Network Access
You will be granted computer network access. Your network access provides you with an email address and access to the University's networked computer applications, as designated by your supervisor, including the library catalog, databases, and the Internet. By using your username and password, you can access your email account or other networked services from the computer in your office or your budgetary unit office, from any of the computers in the general access Computer Lab (Room IS 1120) or from a home computer via the Internet.
Your supervisor or the IT Service Desk (ext. 2309) will provide you with your username and a temporary password, which will allow you to access the system to establish your own password.

The Log e-news is a daily email publication sent to all UW-Green Bay faculty, staff, and off-campus subscribers. It is sometimes sent to students as events warrant. The scope is broad, with news, activities, achievements, and events of general interest. Log e-news

Log Extra is a weekly HTML formatted email newsletter featuring stories, top news, a sampling of events, and “Campus Seen,” a glance at the off-beat and interesting. This publication is sent to all UW-Green Bay faculty, staff, and off-campus subscribers. Log Extra

HR Connect
HR Connect is a weekly newsletter distributed by the Office of Human Resources that is your connection to all things HR. The majority of content contained in the weekly newsletter is readily available on the HR Connect blog. Watch for this weekly newsletter for announcements and reminders, information on current vacancies, announcement of new employees, career development information, benefits and payroll news, and wellness resources. Parking
Parking permits are required on the UW-Green Bay main campus in Green Bay. There is no fee to park at the Manitowoc, Sheboygan or Marinette locations.
University ID Card
UWGB students, faculty, and staff will be issued a University ID card as part of their ongoing relationship with the University. The University ID card is the official UW-Green Bay ID and should be carried with you, or be readily available to you, while on the UW-Green Bay campus. You may be asked to present your University ID to access select buildings and classrooms on campus, to access your University accounts, and to gain campus services.
UWGB faculty and staff can obtain their ID card at no cost, as part of their employment identification.
Please note you must present either your Empl ID # or an official photo ID from a government agency when receiving a University ID. Your University ID card will be valid throughout your entire academic or employment career at UW-Green Bay. You will also be signing an ID card holder's rights and responsibilities agreement.

Benefits
Welcome to the Universities of Wisconsin! Employee benefits make up an important part of your total compensation package. To make the most of your benefits, you need to know what’s available to you and when you can enroll. Learn more about your benefits.
You must enroll in most benefits within the first 30 days of employment. If you do not enroll in benefits when first eligible, you have limited chances to enroll in the future. Open enrollment generally occurs every October, where you can enroll in benefits to begin in the following calendar year starting January 1st.
New employees are encouraged to attend a virtual group bi-weekly benefits orientation session. One-on-one appointments are also available.
New Hire Forms
In order to ensure accurate information is on file and for timely processing of payroll, it is very important that within your first week of employment, you log into the My UW Portal to enter/update the following information. Delaying submission of forms may postpone access to email and other campus systems.

Please note that if you already submitted Direct Deposit, W-4 and Self-ID forms, you would not need to add this information in your My UW Portal, but can update it as needed.

Governance Groups
All staff share in the governance of the University by code and by tradition. The Office of the Secretary of the Faculty and Staff (SOFAS) provides support for governance by coordinating and facilitating faculty and staff governance consistent with all applicable campus and System policies, codes, and regulations and seeing that the rules and regulations passed by faculty and staff are available, monitored, and interpreted consistently. You will want to become familiar with the UWGB Faculty & Staff Governance website.
Academic Staff Governance
Academic Staff share a professional commitment to higher education and to the realization of the goals and mission of the University of Wisconsin-Green Bay. As specialists in their respective fields, staff members strive to create and maintain an environment in which the academic, administrative, and community outreach activities of the University can occur with maximum effectiveness. Faculty Senate Governance
The Faculty of the University of Wisconsin-Green Bay participates in the governance of the University by code and by tradition. Chapter 36.09 (4) of the State of Wisconsin Statutes authorizes the faculty’s role in governance such that “The faculty of each institution, subject to the responsibilities and powers of the board, the president, and the chancellor of such institution, shall have the primary responsibility for advising the chancellor regarding academic and educational activities and faculty personnel matters. The faculty of each institution shall have the right to determine their own faculty organizational structure and to select representatives to participate in institutional governance.” While the code authorizes faculty participation, tradition transforms the legal "shall have primary responsibility" into the practice of exercising its shared governance responsibilities. The Office of the Secretary of the Faculty and Staff supports faculty governance by seeing that the rules and regulations passed by the Faculty are available, monitored, and interpreted consistently.
University Staff Governance
University Staff members of the University of Wisconsin-Green Bay share a professional commitment to excellence through their support of students, academic staff, faculty, administration, and the community as they perform their duties in their respective areas of expertise. It is our mission to promote the professional development and individual career support of University Staff through education, training, mentoring, networking, and communication. We strive to maintain a cohesive partnership with colleagues from all campus employee groups in support of the University’s mission.
You will want to become familiar with the UWGB University Staff Governance website. Included on this website are announcements and meeting minutes, as well as information on different committees in which you can become involved.
The Phoenix Orientation program is held once per year in August, prior to the start of the Fall Semester, with the goal of providing all new employees foundational information on campus/university direction, mission/vision, and other essential material to ensure their success as a new employee and to better integrate them into the UW-Green Bay culture and community. All ongoing employees hired for at least one academic year with an FTE of 50% or greater are expected to attend.

Fall Convocation and Founders Awards
Convocation is a calling to assemble for all faculty, staff and University community to hear the Chancellor’s address for the new academic year. New faculty and staff members are formally introduced to the University community during Convocation. The Founders Association Awards of Excellence are presented during the program. Among these awards are the Founder’s Association Award for Excellence, the Faculty Award for Excellence in Scholarship, the Faculty Award for Excellence in Teaching, University Award for Excellence in Community Outreach, University Award for Collaborative Achievement, University Academic Support Award for Excellence, and University Staff Award for Excellence. Convocation is an invigorating event prior to the start of the academic year and is usually held the week before classes begin.
Holiday Luncheon
This is an opportunity for all employees to come together in December at the end of the Fall semester and share a meal together while recognizing all the amazing work that was done during the first half of the academic year.
Coffee Breaks
Coffee Break meetings are a chance for the Chancellor and other members of the cabinet to provide updates on what is happening at the university and allows employees the opportunity to also ask questions.
Employee Appreciation Week
UW-Green Bay faculty and staff work very hard throughout the year and we want to recognize them for a job well done. Usually held during the spring finals weeks, employees are invited to participate in activities as a way of saying Thank You. Past activities have included Goat Flow, treats sponsored by the Provost Office, chair massages, preferred parking, lunch with leadership, and so much more.
Faculty and Staff Cookout
UW-Green Bay faculty and staff look forward to spring for several reasons, one of which is our annual cookout which takes place during Employee Appreciation Week. A delicious offering of Green Bay's picnic favorites is provided, including desserts and beverages. This event is free and open to all faculty and staff.
During the cookout, we take time to honor recent retirees and thank them for their years of service. Service awards are presented to faculty and staff as they reach career milestones in their 10th year, 20th year, and so on. Emeriti are also awarded their plaques and recognized for their service.
