Essential Job Functions

This position reports to the Executive Manager of the Wisconsin Training Registries and provides administrative support for the Wisconsin Training Registries within the Division of Continuing Education & Workforce Training. This position is responsible for providing a high level of customer service for the Wisconsin Training Registries. As a liaison with internal and external people, this position interacts with a diverse audience of individuals and organizations by communicating procedural information, interpreting and implementing UW-System regulations and policies, and resolving complex problems as they occur. Administrative support includes registration, billing, payment, updating website and coordinating program logistics. The position calls for a highly organized, flexible, and self-directed individual with excellent customer service skills. 

What You'll Do

  • Serves as primary point of contact for individuals and groups, provides organizational information via phone, email and other communication mediums.
  • Prepares and audits complex records, edits documents, and reviews work done by others. 
  • Assist staff with various software implementations, provide tech support for software needs, produce specific reports including data analysis from registrant information.
  • Performs basic accounting tasks including daily deposits as well as monthly reconciliations.

Qualifications

MINIMUM QUALIFICATIONS:

  • High school diploma
  • Experience working with adult learners
  • Experience working in the assisted living industry or other healthcare related industry

PREFERRED QUALIFICATIONS:

  • Demonstrated organizational skills in performance of detailed, complex, and varied tasks related to office operations, data reporting, program support, registration, and basic accounting tasks
  • Ability to prioritize and manage multiple administrative support to various registry programs
  • Proficiency in computer skills including the ability to utilize registration software, reporting, data analysis, website tools and writing
  • Ability to work independently, make decisions, and analyze problems.     
  • Maintains confidentiality with sensitive issues concerning students, faculty, staff, and constituents
  • Understand the unique demands and situations of adult learners
  • Demonstrated excellent customer service skills
  • Ability to learn and adapt to ongoing change
  • Ability to work independently and effectively in a remote-home setting

Conditions of Appointment

Position is a full-time University Staff appointment. The work hours for this position will be 7:45 am to 4:30 pm, Monday through Friday. 

This position is predominately remote (subject to approved University telecommuting request) and requires space and resources to work from home. Some on-campus events or meetings are required. 

A criminal conviction investigation will be conducted on the finalist(s).  A six-month probationary period is required for this position. In compliance with the Wisconsin Fair Employment Act, the University does not discriminate on the basis of arrest or conviction record.

Compensation and Benefits

SALARY INFORMATION
Minimum salary $17.75 per hour. 

This position is not exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).

BENEFIT DETAILS
The UW System provides an excellent benefits package to meet the diverse needs of its employees. This includes several health insurance options, with annual deductibles as low as $250/individual and $500/family. Our benefits package also includes dental, vision, several life insurance options, AD&D and Accident insurance and Flexible Spending and Health Savings Accounts. We participate in the Wisconsin Retirement System (WRS), where employer contributions begin immediately and employees are fully vested after 5 years of service. The UW System also provides supplemental retirement savings programs including a 403(b) and Deferred Compensation.

In addition, employees receive several types of paid leave benefits, which are prorated for employees working less than 100%. This includes 9 legal holidays, 36 hours of personal holiday and between 96-130 hours of sick leave annually. Employees earn 13-27 days of vacation each year, depending on years of service and employment type.
