Essential Job Functions

This position reports to the Program Manager for the Business and Government Outreach Department and provides general administrative support, while exercising discretion, to the administrator of a department or division of the institution or to the administrator of multiple institution programs, services, and activities. Responsible for overseeing the department's administrative duties, including managing deposits. The department provides non-credit training to business and government entities, runs certificate programs, and holds conferences.

What You'll Do

  • Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations.
  • Serves as a primary point of contact for individuals and groups, provides organizational information via phone, in person, and through other communication mediums.
  • Prepares and audits complex records, edits documents, creates events in registration software and reviews work done by others.
  • Develops, sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures.
  • Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures.
  • Leads in the hiring, training, and supervising of student employee(s).
  • Moderates virtual conferences and assists in the training of instructors.
  • Completes daily deposit reports, manages reconciliations, completes refunds, and processes invoices and instructor contracts and payments.

Qualifications

MINIMUM QUALIFICATIONS:

  • Advanced knowledge of Excel and desktop software, virtual delivery platforms, website tools, social media, and the Internet
  • Experienced in handling deposits, refunds, and reconciliations
  • Highly organized, flexible, self-directed individual with the ability to navigate complex virtual delivery challenges and develop new innovative approaches
  • Excellent interpersonal communication and social skills necessary to navigate diverse community settings, partnerships, and individuals
  • Ability to work independently and be a part of a team working in collaborative efforts
  • Proven problem-solving ability

PREFERRED QUALIFICATIONS:

  • Associate's or Bachelor's Degree

Conditions of Appointment

Position is a full-time University Staff appointment. The work hours for this position will be 7:45 a.m. - 4:30 p.m., Monday through Friday. 7:45 a.m. - 4:30 p.m., Monday through Friday. This position may have the option to work on-campus or a hybrid schedule subject to approved telecommuting request. Occasional evening and/or weekend work. Day and overnight travel are occasionally required for meetings, trainings, and conferences. Limited vacation preferred June and July.

A criminal conviction investigation will be conducted on the finalist(s). A six-month probationary period is required for this position. In compliance with the Wisconsin Fair Employment Act, the University does not discriminate on the basis of arrest or conviction record.

Compensation and Benefits

SALARY INFORMATION

Minimum hourly rate of $17.60.

This position is not exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).


BENEFIT DETAILS

The UW System provides an excellent benefits package to meet the diverse needs of its employees. This includes several health insurance options, with annual deductibles as low as $250/individual and $500/family. Our benefits package also includes dental, vision, several life insurance options, AD&D and Accident insurance and Flexible Spending and Health Savings Accounts. We participate in the Wisconsin Retirement System (WRS), where employer contributions begin immediately and employees are fully vested after 5 years of service. The UW System also provides supplemental retirement savings programs including a 403(b) and Deferred Compensation.

In addition, employees receive several types of paid leave benefits, which are prorated for employees working less than 100%. This includes 9 legal holidays, 36 hours of personal holiday and between 96-130 hours of sick leave annually. Employees earn 13-27 days of vacation each year, depending on years of service and employment type.
